Creating Logs
To Create a New Log
Click on the
button in the CLIFF Toolbar. The Log input form is displayed with the Log Toolbar across the top of the form. If you are using Log Templates some of the data fields may already be completed for you.

Enter your tracking information into the appropriate data fields. Navigate through the fields using Tab, to move forward, and Shift-Tab, to move backwards. The normal Tab order is Date Written, Date Received, First Name, Last Name, followed by the address fields and other CLIFF data fields. The Salutation field is intentionally skipped in the Tab sequence.
Some data fields require further explanation:
- Date Received:
If you enter a date that is later than today, or more than 30 days ago, you will receive a warning from CLIFF.
- Name and Address: Use address templates to automatically enter name and address information.
- Closed: Once you enter a date in this field, the Log is considered closed. Depending upon your implementation of CLIFF you may have a grace period in which you can remove the date closed. When the grace period expires you cannot change any of the data items that are in the Log, or are associated with the Log, without the help of your CLIFF administrator. You cannot enter a closed date if there are open Referrals for the Log.
- Confidential: If Confidential is on, no other Office will be able to view the Log unless the Log has been referred to with their Office.
Depending on your configuration of CLIFF some data fields may invoke special handling as follows:
- Mandatory fields: Your configuration of CLIFF may specify certain fields as being mandatory. CLIFF will generate an error message if you do not enter data into the mandatory fields. The Date Received is always mandatory.
- Last Name: Can automatically converted to all upper case letters.
- Duplicate Check: CLIFF automatically checks to see if this Log has previously been entered.
- Search for Special Authors: CLIFF warns you if this is a special author.
- Optional Postal Code lookup: CLIFF will look up the PostalCode for the entered address. Depending upon your implementation of Postal Codes, one or more of the user defined pop-up fields may be populated based on the Postal Code. Note that this also works if you manually enter the Postal Code.
Click
on the Toolbar to save the Log or click
on the Toolbar to cancel it.
Clicking any of the Log Navigation buttons
will also save changes to a Log.
