Address Templates

You can maintain an address database in CLIFF so you can quickly enter frequently used addresses into Logs.

Adding an Address

An address from a Log can quickly be added to the Address database without re-typing the address.

To Add an Address from a Log

  • Click on the icon by the Last Name field in the Log form. The address information from the Log will be automatically entered into the Address database.
  • Selecting an Address

    To Select an Address for a Log by Last Name

    1. In the Log input window, position the cursor in the Last Name field.
    2. Enter the character ">" (without quotes) followed by one or more characters of the Last Name you are searching for. For example ">and" to search for names starting with "and".
    3. Press Tab. If the entered characters uniquely identify an address it is automatically entered into the Log. If there is more than one Address, CLIFF displays a window of available address templates sorted by Last Name. You may navigate the list the same way you would navigate a pop-up list. Click on the Address to enter and click Select.

      To Select an Address for a Log by Company Name

      1. In the Log input window, position the cursor in the Company field.
      2. Enter the character ">" (without quotes) followed by one or more characters of the company you are searching for. For example ">ak" to search for company names starting with "ak".
      3. Press Tab. If the entered characters uniquely identify an address it is automatically entered into the Log. If there is more than one Address CLIFF displays a window of available address templates sorted by Company Name. You may navigate the list the same way you would navigate a pop-up list. Click on the Address to enter and click Select.
    4. Update Address Templates

      The easiest way to create an Address Template is from a Log that already contains the name and address. See Adding an Address.

      To Update or Create an Address Template

      1. Choose Address Lists from the Administration menu. CLIFF displays the Address Templates window.


        Existing Templates are displayed in the scrolling list. If only a few Templates have been defined they will all be displayed. However, if there is a large number of Templates defined, CLIFF will automatically subset them by the first character of the current sort field (Last Name or Company). You may select other subsets by clicking on the alphabetic character in the header or click ALL to see all the templates.
        The office that created/owns the Template is shown in the right column. If you have access to several offices you will see their Templates. Templates that are available to all offices will have 'Shared' in the Owned By column.

      2. Click on New Address to create a new template. The Template input screen is displayed:


      3. If you want to restrict access to the Template to a single Office, enter the Office Name. Otherwise leave Shared selected.
      4. Enter the name and address
      5. Click Save to save the Template.
