Email
To help you share information with people who do not have access to CLIFF or to send reminders to people, CLIFF provides simple e-mail capabilities. The intent is not for CLIFF to replace your normal e-mail software but simply to give you more flexibility in communicating with others, for example CLIFF does not read e-mail.
CLIFF provides the following e-mail capabilities:
E-mail Links
As an alternative to e-mailing Log information and attachments, CLIFF will let you e-mail a link to the Log in CLIFF. The link is unique, encoded, and doesn't require the recipient to log in to CLIFF to view the Log. The link will expire after the defined number of days.
To Send an Email Link
- When you confirm the e-mailing of a Log, the confirmation dialog will provide an option to send a link, as shown in the following confirmation for sending a notificaiton:

- Click on the option to send a link.
- The default number of days in which to expire the link is already entered for you. You may over-ride it if you wish. Note that the day the link is created is counted as one of the days.
- Select other options as required.
- Send e-mail.
The recipient will receive an e-mail with an embedded link.
Viewing E-Mail
E-mail messages put on hold are saved for later sending or viewing.
To view your e-mail messages
- Click the
button in the CLIFF tool bar. The following window is displayed:
All the e-mail messages created by you are listed with the most recent at the top. The Hold and Sent status of each message is shown on the right hand side of the list.
- Click on the To link to view the email.
E-Mail Log Report
CLIFF can automatically generate an e-mail with the information from one or more Logs. This is done by clicking the
button in the List Tool bar.
To create an E-mail Log Report
- Click the
button in the Log List window. The following window will be displayed:

- Choose the selection of Logs to generate an e-mail for if more than one option is provided.
- If you want Referral, Notes and/or attachments included. Check the appropriate check boxes.
- Check Save Email if you don't want the email sent.
- Check Delete After Sending if you do not want to keep a copy of the email after sending.
- Choose the sending office from the From drop down menu if not already displayed.
- From the list of available addresses on the right, click the appropriate arrow to add the address as To, CC, or BCC.
- To enter manual addresses, enter the address in the space below the To, CC, or BCC list and click the + beside the field.
- Enter a note or additional information to be prefixed to the generated report.
- Click Send to submit the e-mail.
E-Mail Referral Report
CLIFF can automatically generate an e-mail with the information from one or more Referrals. This is done by clicking the
button in the List Tool bar.
To create an E-mail Referral Report
Click the
button in the Referrals Sent or Referrals Received window. A window similar to the following will be displayed:

- Choose the selection of Logs to generate an e-mail for if more than one option is provided.
- If you want Referral, Notes and/or attachments included. Check the appropriate check boxes.
- Check Save Email if you don't want the email sent.
- Check Delete After Sending if you do not want to keep a copy of the email after sending.
- Choose the sending office from the From drop down menu if not already displayed.
- From the list of available addresses on the right, click the appropriate arrow to add the address as To, CC, or BCC.
- To enter manual addresses, enter the address in the space below the To, CC, or BCC list and click the + beside the field.
- Enter a note or additional information to be prefixed to the generated report.
