Log Fields Configuration

Each data field in the Log has a number of attributes associated with it that you may customize to suit your implementation of CLIFF. The attributes that you may change are:

  • Keyword Index - When a Log is saved, CLIFF creates a keyword index for the Log from the selected fields.
  • Address Label - For some reports (i.e.Referral Slip), CLIFF automatically builds an address label from the selected fields.
  • Mandatory - Selected fields must contain an entry when the Log is saved.
  • Mandatory when Closed - Selected fields must contain an entry when the Log is saved and the Log contains a Closed Date.
  • Locked - Selected fields will be locked to prevent updating when a user does not have access to the Office that owns the Log.
  • Label - The label of the field in the Log.
  • Search Label - The label of the field in the Search form
  • Popup Support - Selected fields will have a popup button that users may select entries from. An associated table in Table Maintenance will be created.
  • Forced - Data in the field must be one of the entries in the associated table. Can only be set if Popup support is enabled.
  • Info - Selected fields will support Info tags. Can only be set if Popup support is enabled.
  • Menu Label - The label for the support table as it appears in the Table Maintenance menu. Can only be set if Popup support is enabled.
  • Log Sort Label - The label of the field in the Log List sort menu.
  • Ref Sort Label - The label of the field in the Referral List sort menu.

To Change Field Configuration

Note that changing the field configurations while other users are logged in could affect their access to CLIFF. It is always advisable to only change the Application Preferences when other users are not logged in to CLIFF. If users are logged in, they may have to log out, and then log back in for changes to take affect.

  1. Select Log Fields from the list in Application Preferences. A table similar to the following will be displayed.

  2. Click the appropriate checkboxes for the attributes you want to set for each field.
  3. Scroll down to the bottom of the form and Click Save. CLIFF will save the settings and rebuild the configuration files.

Log Field Configuration Notes

  • When a checkbox is not shown for an attribute, that attribute is not available for the specific field.
  • In some cases you cannot remove an attribute from a field. For example, Date Received is always mandatory.
  • Some attributes are not available until you select others and save the configuration. For example, Forced and Info cannot be set unless Popup Support is enabled.
  • If a Menu Label is left blank, the Default label will be used in the Menu (if applicable)
  • Log and Referral Sort menus will only contain the fields for which a Sort Label has been entered.
  • If the descending option (<) for a Sort Field is to be included in the menu, click the (<) checkbox.
