E-Mail Log Report

CLIFF can automatically generate an e-mail with the information from one or more Logs. This is done by clicking the button in the List Tool bar.

To create an E-mail Log Report

  1. Click the button in the Log List window. The following window will be displayed:

  2. Set your options as follows:
    Selection
    Choose the selection of Logs to generate an e-mail for if more than one option is provided.
    Include Notes
    Include Notes from the Logs
    Include Attachments
    Include Attachments from the Log. If your current selection of Logs is one, then you will also have the option of choosing which attachments to include.
    Include Referrals
    Include Referrals from the Logs
    Secure (Link to Log)
    Only send a link to the Logs. Depending on the configuration of CLIFF this may be your only option.
    Allow access for [ ] working/calendar days
    How many days the link should remain available.
    Unsecure (Image of Log)
    Send the Log information in the email. This option may not be available to you.
    Delete after sending or link expired
    Don't keep the e-mail in CLIFF after sending or the link expired
    Priority
    Set email priority
  3. Choose the sending office from the From drop down menu, if not already displayed.
  4. Enter To, CC, and BCC addresses as required using the following techniques:
    Select From List of addresses
    The list is comprised of three types of addresses:
    • Offices - all offices (excluding obsolete offices) with an email address are listed with an "Office:" prefix. If selected, the email address for the Office, and any CC email addresses for the Office, are included in the selection.
    • Office Distribution Lists - all office distribution lists defined in CLIFF are shown with a "Office DL:" prefix. If selected, the email address, and CC address for all the Offices in the Distribution List are included in the selection.
    • User Distribution Lists - User email distribution lists are shown with a "User DL:" prefix. If selected, the email addresses in the list are included in the selection.
    • User account - the email address of all defined user accounts is included. Each address is prefixed with the name of the user, or the account name if no user name is provided.

    Click one or more addresses in the list and click the appropriate [<] button to move the addresses to the TO, CC, or BCC list. You may select multiple addresses at the same time by ctrl-click (Windows) and command-click (Macintosh), or using the shift key. For example to email all users, click the first user address in the list, scroll to the bottom and shift-click the last address.

    Manual Entry
    Enter the email address in the entry box below the TO, CC, or BCC list and click the associated [+] button. You may enter multiple addresses at the same time if you separate them by commas.
    Removing Selected Address
    Click on the address to be removed and click on the appropriate [>] button.

  5. Enter a note or additional information to be prefixed to the generated report.
  6. Click Send to send the e-mail.
  7. If you want to save the email for sending later, Click Save.
