To Create a User Account


  1. Choose User Accounts from the Administration menu. The following window is displayed.

The User Preferences allow you to set your defaults and customize some aspects of CLIFF.

To Change Your Preferences

  1. Click on the button in the Personal Toolbar at the top of the Web Browser window. The user preferences window is displayed.

  2. Keyboard Shortcuts

    Keyboard Shortcuts

    Keyboard shortcuts is a sequence of keys you press to initiate a function. Almost every application on your computer has these shortcuts, shown beside the command in the menu. Web browsers have two sets of keyboard shortcuts to contend with, their own for accessing menu items, and the shortcuts in the web site or web application they are displaying. To access the desired set of shortcuts, the web browser will use different key combinations. For example in Firefox on Windows the key sequence Ctrl+P will invoke the FireFox command.

    Personal Toolbar

    The User Toolbar across the top provides access to functions for configuring your personal settings in CLIFF.

    • Messages - Click to view messages sent to you or to send messages to others.
    • Current Office - The office you are currently logged in as. You may change your current office by selecting another from the drop-down list. You may define your default Office in the User Preferences.

    CLIFF Toolbar

    The CLIFF Toolbar down the left side of the browser window provides access to all the CLIFF functions for accessing and modifying data in your CLIFF database. Clicking on an icon on the toolbar will either display a sub-menu, or open a new window displaying the selected function. Icons with a small inverted triangle will display a sub-menu. The following diagram shows each function with a brief description after the diagram.

    NOTE: The access level of your account may not allow you access to all of these functions so some buttons or menu options may not be visible.

    About this Help System

    This Help system, is designed to provide instructions for using CLIFF. You may navigate through the system by clicking in the menu on the left, clicking on the path above, or searching for keywords using the search feature on the left.

    Navigation Path

    As you navigate through the help system the navigation path at the top shows you where you are. For example:

      Log Exchange

      The Log Exchange feature of CLIFF provides an interface between your CLIFF database and other CLIFF databases allowing you to create and send Referrals to other databases. Each "external" Referral you create sends a copy of your Log and its attachments to the other database. If the receiving CLIFF database accepts the Referral, a new Log with your Referral is created in their database. When they complete their Referral and close the Log, your Referral is automatically updated.

      Custom Reports

      Custom reports may be created for Logs, Referrals Sent, and Referrals Received. You may select which data fields to print, the order in which to print them, how they should be sorted, and more.

      To create a Custom Report

      1. Choose Logs, Referrals Sent, or Referrals Received from the Report menu in the Toolbar. A window similar to the following will be displayed depending on the option you choose. Note that clicking on in the Log and Referral lists will also display this window.
      2. Importing Attachments

        Almost any file can be imported as an attachment. CLIFF will try to determine the file type based on content or the file type in the name, for example picture.jpg would be assumed to be an image in JPG format.

        NOTE: The size of attachments you can import may be restricted.

        To import an attachment into a Log

        1. Open the Log if not already open.
        2. Choose Import... from the Attachment drop down menu in the Log Tool Bar, or if you have the Attachments window open, you may click Import at the top. The following window is displayed:
